How to Setup Cloud Sync with APlay Pro

Learn step-by-step how to setup multiple computers to sync with APlay Pro.

If You Use APlay Pro on More Than One Computer, This Is Important

Cloud Sync inside APlay Pro isn’t just file storage.

It’s built specifically for churches and ministry workflows.

It’s:

• Built directly into APlay Pro
• Designed for church teams
• Organized around real ministry environments


For a One-Man Band

If you:

• Build slides at home
• Run them at church

Here’s your simple setup:

Home Editing Computer → Merge
Church Display Computer → Merge

That’s it.

You build during the week.
You sync.
You walk into church.
Everything is there.

No USB drives.
No guessing.
No panic.


If You Have a Small Volunteer Team

Let’s say you have:

• One midweek editor
• One Sunday operator
• Maybe a backup machine

Here’s the recommended structure:

Editing Computer → Merge
Display Computer → Read Only
Volunteer/Backup Computer → Read Only

That “Read Only” option is powerful. It prevents volunteers from accidentally editing shows and syncing those changes back to the Cloud file.


If You’re a Larger Multi-Team Ministry

If you have:

• Main sanctuary
• Youth ministry
• Kids ministry
• Midweek service
• Special events

Each ministry should operate as its own ministry team with its own sync file.

That means:

• Separate cloud backups
• Separate sync cycles
• No crossover conflicts

Kids  team syncing slides won’t affect Youth teams on Sunday. Conference builds won’t overwrite weekly services. This is scalable ministry structure.


Step-by-Step: How to Set Up APlay Pro Cloud Sync

Here’s how to set it up correctly.


Step 1: Create Your Church Account

Go to:
https://admin.b1.church/

Create your church account.

You will become the admin/master account holder.

Add additional users later if needed.

This connects your church to the ChurchApps ecosystem that APlay Pro uses for Cloud Sync.


Step 2: Create a Team

Inside your church dashboard:

  1. Select Serve from the upper-left dropdown.

  2. Click Create Team.

  3. Name your team (example: “Sunday Service”).

  4. Add members to that team.

Important:

Each team has its own cloud backup.

If you have multiple ministries, create separate teams for each. That way the kids ministry computer will sync different files than the computer in adult service.


Step 3: Connect APlay Pro to ChurchApps

On each APlay Pro computer:

  1. Open APlay Pro.

  2. Go to Files → Connect to ChurchApps.

  3. Log in with an account that belongs to your team.

  4. Select the correct team.

Now APlay Pro is connected to your church’s cloud sync account.


Step 4: Choose the Correct Sync Option (Critical)

You will likely have to disconnect from ChurchApps and reconnect in order to create a cloud file from your current APlay Pro Setup. Then You will need to disconnect and reconnect again to see the Sync option prompts.

When prompted to sync, you’ll see options.

Here’s how to choose:

Primary Editing Computer

Choose: Merge

This pushes your edits to the cloud.


Primary Display Computer

Choose: Read Only

This pulls the finalized edits from the cloud.

NOTE: You will find this option in the “More Options” menu from the settings icon in the upper right.


Read-Only Machines for Backup (Optional)

Choose: Read Only

This prevents accidentally editing the files on the cloud and keeps display machines up-to-date.


Step 5: Set Up a Shared Media Folder (Still Required)

Cloud Sync handles:

• Projects
• Shows
• Templates
• Layouts

It does NOT sync large media files like photos, graphics, motion graphic backgrounds, or videos.

For media, we recommend using a shared drive folder. Many churches may already have this setup. If not, we recommend Google Drive as a no-cost alternative.

Media Setup:

Create a dedicated Google account for media.
Install Google Drive Desktop on all APlay Pro machines.
Log into the same account on each computer.
Create a folder called “Media.”

In APlay Pro:
Go to Settings → Files → Set Media Folder and point it to that folder.

Every computer must point to the exact same media path.


Quick Setup Examples

Scenario 1 — One-Man Band

Laptop at home → Merge
Church PC → Merge


Scenario 2 — Small Team

Editor PC → Merge
Sanctuary PC → Read Only
Backup PC → Read Only


Scenario 3 — Larger Church

Create separate sync teams for:

Sunday Services
Youth Ministry
Special Events

Remember, each sync team operates independently.
